Under supervision, coordinates the scheduling, planning and execution of high-quality hospitality and special events for departments across the University. Plans, directs and executes all event details and serves as a point of contact for University staff, athletic and other donors, alumni and fans related to special events.
-Plans and coordinates, staffs, schedules, budgets, supervises, and directs all logistical activities engaged in managing special events for vested University departments.
-Responsible for engaging fans and maintains key stakeholder relations, such as season ticket holders, donor and alumni, while preserving a meaningful, first-class experience for constituents.
-Oversees and plans special events, which may be athletic or social in nature.
-Serves as primary point of contact for special interest athletic support groups. Assists with related communications and special events as it relates to these groups.
-Participates in related administrative meetings.
-Responsible for working with internal and external constituents as it relates to marketing and promoting special events.
-Compiles and provides cost summary of events. Verifies and compiles event attendance and shares findings with supervisor and other staff as needed.
-Understands significant financial duties in regards to reservation and reconciliation of events. Responsible for creating and tracking event budgets.
-Ensures compliance with internal policies and maintains internal processes and standards.
-Works with internal and external individuals and vendors in all aspects of special event coordination.
-Purchases and maintains inventory of equipment and supplies as it relates to all assigned special events.
Bachelor's degree in related field from an accredited institution.
Three years' relevant experience.
Experience in hospitality or event planning in sports or entertainment industry, or athletic arena event management.
Ability to work irregular shifts and extended hours, including weekend and holidays.
