Job Duties:
Reporting to the Executive Associate Director of Athletics for Internal Operations, the individual serving in this position is responsible for, but not limited to, the following duties:
- Assist the Executive Associate Director of Athletics for Internal Operations in contests, outside events, ECU events and other facility use. Manage and supervise the day-to-day readiness of all athletics facilities.
- Manage athletic renovations and new projects in conjunction with university guidelines.
- Provide input and leadership to internal operations activities and initiatives in line with the department’s mission, vision and core values.
- Recognize, define, and resolve standard and non-standard problems using operating procedures, practices and established precedents and resolve recurring issues and problems as well as unique situations.
- Assist in the management of the strategic planning and oversight of internal operations and facilities.
- Oversee all on-campus housing and dining needs for student-athletes. Continuously educating staff and athletes on policies and procedures for campus living. Problem-solve with campus living, coaching staff, and athletes when violations or issues arise.
- Oversee external event coordination with responsibilities including determining client needs and facility availability, coordinating resources, negotiating and executing rental contracts, and assisting in the development and implementation of departmental policies and procedures for external events and rentals.
- Oversee camps and clinics hosted on the ECU Athletics Campus. Coordinate with staff to ensure operations for camps and clinics run smoothly and policies and procedures are up to date with YPCO and NCAA.
- Plan, schedule, and supervise the operations of internal and external events ensuring efficient operation to maximize smooth conduct of all games for participants, officials, visiting institutions and fans.
- Serve as liaison with various departments/vendors during athletics contests and outside events and in doing so, provide troubleshooting support to outside staffing companies, Aramark, EMS, Athletics Media Relations, IMG, etc.
- Serve as Visiting Team Liaison leading up to and during home football games. Coordinate with visiting team staff and administration to ensure all needs are met.
- Oversee scheduling of tours of the Athletics Campus for various guests and groups; position serves as Ambassador for Athletics, sharing ECU and Athletics history, policies, and procedures during tours.
- Develop and maintain positive and productive relationships with internal and external customers.
- Assist with budgeting decisions that are consistent with the department’s decision-making and planning priorities. Oversee assigned event operations and revenue budget to meet established goals.
- Oversee department’s control requirements for keys and code access.
- Assist with the oversight of parking and transportation for all events
- Oversee and direct four full-time staff members and student workers. Responsible for the hiring, training, performance evaluations and all other human resource aspects for the permanent positions.
- Ensure the athletic facilities meet the standards of NCAA Division 1 and American Athletic Conference rules/procedures and are in accordance with North Carolina laws.
- Monitor and execute all NCSS and AAC policies as they relate to internal operating units.
- Conduct regular, visual inspections of the facilities and equipment to determine appropriate repairs and service. Use proper channels to request repairs and service in a timely manner.
- Assist in the development and execution of contingency plans for emergency and severe weather scenarios.
- Build quality relationships; work collaboratively and professionally with athletics, Pirate Club and University staff, students, outside contacts and all constituencies and stakeholders on all levels, including face-to-face, phone, and electronic communications.
- Abide by all written policies and procedures of ECU, the Department of Athletics, the National Collegiate Athletic Association (NCAA), and all applicable conferences of associations.
- Perform other duties as assigned by the Executive Associate Director of Athletics for Internal Operations.
The Assistant Athletics Director of Internal Operations and Facilities, using independent thinking and discretion, will interpret policies and communicate decisions. This position will effectively communicate and work collaboratively with a wide variety of people at various levels of the organization, as well as provide excellent customer service. This position will balance multiple tasks, be expected to produce high-quality work on tight deadlines, and be able to manage a work schedule that includes evening and weekend work.
Minimum Education/Experience:
Master’s degree and three years of experience in athletics operations; or a Bachelor’s degree and five years of experience in athletics operations is required.
Ability to work outside of typical business hours as needed, including but not limited to evenings, weekends, and holidays is required.
Qualifying degrees must be received from appropriately accredited institutions and conferred by the time of hire.
