Administrative Assistant to the Director of Athletics

Operations - Administrative Support
Summary Washington & Jefferson College seeks an individual to provide primary administrative support to the Director of Athletics as well as support for athletic department staff and coaches. This is a full-time, 12-month position.
Duties and Responsibilities •Responsibilities include administering game contracts, roster and data management •Serving as the business office liaison to athletics through processing of forms for payments, reimbursements, purchase orders, disbursements, travel and business expenses •Managing appointment calendars •Serve as coordinator for coach bus and van transportation for athletic teams •Other clerical responsibilities such as preparing memos, answering phones, and ordering office supplies. •Schedule group meetings on Zoom and/or Teams •Book meetings and conference rooms using 25Live •On occasion, working special events like the athletic hall of fame ceremony
Qualifications •High School diploma required •Bachelor’s in business or related field preferred •The individual must be able to maintain thorough and accurate records •Work cooperatively with a diverse group of individuals •Possess excellent communication, organizational, interpersonal, and time management skills; and be able to prioritize tasks and meet deadlines. •Must be an energetic self-starter who can work well independently and as a member of a team. •Previous experience in a fast pace office is strongly preferred. Relevant work experience may be substituted for the degree requirement as determined by the University. •Must be proficient with current technology, including MS Office. Preferred knowledge of Sakai, Colleague, 25Live, and WebAdvisor •Ability to positively interact with coaches, faculty, students, and staff members •Good spelling and grammar skills, telephone manners, and organizational skills •Conscientious, dependable, and flexible •Excellent time management skills •Maintain discretion and confidentiality
