University of Oklahoma Athletics Department is searching for a highly organized, detail- oriented individual who loves finding solutions to problems and holds confidentiality to join our team. The Assistant Director of People and Culture will provide primary professional administrative support for the Assistant Athletic Director of People and Culture with the day-to-day operations and short-term/long term Human Resources projects to ensure efficient departmental operations. Within this role, the employee is expected to effectively communicate to ensure that all duties are completed accurately and delivered with high quality and in a timely manner. In addition, this role is critical for supporting Athletics Department staff, cultivating positive relationships and the ongoing enhancement of culture.
Essential Functions: • Provide administrative support to the Assistant Athletics Director of People and Culture. • Assist Assistant Athletics Director of People and Culture with recruiting and onboarding of student workers, temporary workers and occasional workers. • Assist with onboarding items such as coordinating ID/fingerprint appointments, parking permits, and campus orientation for full-time employees, liaison with Welcome Wagon. • Assist Assistant Athletics Director of People and Culture with new hire and termination epafs. • Assist Assistant Athletics Director of People and Culture with completion and tracking of criminal, compliance, and educational background checks. • Delivery, tracking, compilation, and maintenance of confidential and time sensitive materials such as new hire paperwork, offer letters, performance evaluations, management plans, coaches’ contracts, etc. • Tracking and filing of athletics employee files on Laserfiche. • Assist Assistant Athletics Director of People and Culture with department wide mandatory trainings such as but not limited to Title IX. • Assist Assistant Athletics Director of People and Culture with evaluation of applications for open positions, search processes and communication with hiring managers. • Assist Assistant Athletics Director of People and Culture with oversight of Athletics Department Staff Council (ADSC): attend monthly meetings, assist with planning and executing events, and staff engagement. • Design and coordinate department wide communications such as Sooner Magic Friday SWAY and Sooner Shoutouts. • Engage staff in leadership development programming • Oversee graduate assistantship program; recruitment, onboarding, orientation, tuition waivers, exit interviews. • Collaborate with and assist Assistant Athletics Director of People and Culture with department programming such as professional development events, department wide meetings, retirement receptions. • Handle sensitive information in a confidential manner. • Ability to work with little or no supervision on a daily basis.
Required Education: Bachelor's degree, AND:
12 months of related experience.
Equivalency/Substitution: Will accept 48 months experience in lieu of the Bachelor's degree for a total of 60 month related experience
Demonstrated excellence in oral and written communication • Detail oriented for accuracy of date and information • Highly organized and able to handle multiple projects and deadlines • Strong organizational, participation and facilitation skills • Ability to work independently • PowerPoint, Microsoft SWAY, Excel
Master’s degree • Prior administrative or human resources/human relations experience • Knowledge and understanding of NCAA and Big12 rules. • Previous experience with intercollegiate athletics.
