The Sun Belt Conference has an opening for a Executive Assistant/Director of Office & Events. The conference office is headquartered in New Orleans, LA.
For over 40 years, the Sun Belt Conference has been a leader in college athletics by conducting first-class championships for our member institution’s student-athletes, maintaining a seat on the NCAA Board of Directors and competing as a member of the College Football Playoff.
The Executive Assistant/Director of Office & Events will be responsible for coordinating conference events and managing office administration under the direction of the CFO. Also, the Executive Assistant/Director of Office & Events will provide administrative and secretarial support to the Commissioner. These duties require excellent customer service traits, professional demeanor at all times, a high level of trustworthiness, resourcefulness and a willingness to work autonomously. The qualified candidate will take direction well, show strong initiative, demonstrate excellent follow-through and have a strong attention to detail.
Primary Responsibilities
- Oversee and facilitate all aspects of conference event and meeting planning including site selection, vendor relationships and event registration.
- Manage all conference sponsored events and meetings including guest lists, providing updated information to perspective guests, managing hotel room blocks, catering, entertainment and will be present on-site at all times.
- Enhance and expand the current conference contact base of local and regional event and meeting partners such as hotels, event venues, restaurants and transportation companies.
- Build relationships and maintain constant contact with colleagues of member institutions and friends, partners and associates of the conference.
- Work with CFO on event and meeting budgets in an effort to provide enhanced event and meeting experiences while maintaining fiscal responsibilities.
- Assist CFO with accounts payable function, record filings, annual financial statement audit and other duties as part of the conference accounting internal control structure.
- General office duties such as ordering supplies, managing main office phone line, processing mail (including FedEx and UPS) and ensuring the entire office, including supplies, storage and kitchen areas, are neat and organized at all times.
- Review, analyze, update and print Commissioner’s calendar summary on a daily basis.
- Assist in coordination of Commissioner’s travel and meeting schedule as needed.
- Manage Commissioner’s email account and distribution lists.
Candidate Specifications
- Bachelor’s degree from an accredited four-year institution preferred.
- Previous experience in event and meeting planning preferred.
- Display excellent time management skills and be detailed-oriented.
- Enjoy meeting and forming relationships with new and current business contacts.
- Possess strong verbal and written communication skills.
- Proficient in Microsoft 365 – Outlook, Excel, Word and PowerPoint.
- Experience with QuickBooks or any other accounting software is a plus.
- Ability to manage office equipment needs including phone system, copiers, kitchen and other necessary equipment.
- Experience with using, managing & troubleshooting distribution lists, calendars and contacts in Outlook.
- Enthusiastic to learn and understand the collegiate athletic environment and the various stakeholders including member institutions, the NCAA, other athletic conferences, bowl partners, sponsors, committees and any other groups associated with the Sun Belt Conference and its member institutions.
A background in intercollegiate sports is not required, but would certainly be considered an asset for the ideal candidate.
