Serve as administrative support for the Athletic Advancement team in University Advancement.
1.Serve as the front-line representative for incoming Blue and Gold Fund inquiries. 2.Organize calendar and meeting scheduling using Microsoft Outlook. 3.Organize itinerary details including airline travel, car rental and hotel accommodations. 4.Manage University Advancement athletic ticket allotment. 5.Manage gameday hospitality rooms and staff at home men’s basketball games. 6.Hire, train and supervise athletic advancement office and game day student workers. 7.Oversee weekly communication and mailing of athletics gift acknowledgements. 8.Assist the Assistant Director of the Blue & Gold Fund and the athletic ticket office on the administration of the priority point system and annual reseating process. 9.Assist with donor inquiries relating to contributions and the priority point system. 10.Help with the planning and execution of athletic special events. 11.Assist with the fulfillment of donor benefits including hospitality, parking and tickets. 12.Manage the athletic advancement budget, including processing monthly credit card statements. 13.Attend university and university-sponsored events and volunteer meetings, acting as a representative of the Blue & Gold Fund, often during the evenings and weekends; represents the university to external constituents. 14.Communicate with volunteers, donors, friends, and other departments throughout the university by responding to various questions and requests for information. 15.Prepare reports, correspondence and all other necessary documents using application software including MS Office, MS Word, MS Excel, MS PowerPoint. 16.Maintain relevant department records and retrieve data from the database system. 17.Maintain high level of confidentiality. 18.Other related duties as assigned to help support the department and University Advancement’s goals.
Education: High School diploma or equivalent
Job related experience: 3-5 years of business experience, including:
a solid knowledge of grammar and strong written, verbal, and creative skills
ability to multi-task and pay attention to detail
strong customer service skills with the ability to problem solve
familiarity with a business environment and procedures
ability to work under deadlines and prioritize work
work efficiently in a team-oriented setting
complete tasks with minimal supervision
be experienced in using Microsoft Word, Excel, Outlook and PowerPoint
