POSITION SUMMARY: The Assistant Director, Athletics Development is a professional fund-raising position reporting to the Assistant Athletics Director, Annual Giving in Athletics. The Assistant Director of Development will lead the development, planning, and staging of special events and hospitality in Athletics and for the Green Wave Club. This position will also identify, cultivate, and solicit gifts for the Green Wave Club, steward Athletics donors and prospects, and be involved with all aspects of the development operation for Tulane Athletics including gift acknowledgments, gift processing and benefit distribution.
ESSENTIAL JOB FUNCTIONS: 1. Responsible for the development, planning, and staging of athletic department special events and fundraisers. Assists in ensuring that events are well organized and effective in identifying potential donors and securing donations. Completes event critiques, including budget sheets, upon completion of events. Events include but are not limited to the Hall of Fame event, Olive and Blue Society annual event, Tulane Golf Classic and others. Coordinates all game-day hospitality for Football, Men’s Basketball, Women’s Basketball, and Baseball. Executes other areas in the annual fund such as stewardship, benefits fulfillment, and premium seating oversight. (65%) 2. Maintain daily internal operations including gift processing and acknowledgment reports. Provide weekly acknowledgment reports from recent giving to development staff. Input all gifts into Paciolan donor system. (15%) 3. Identifies, cultivates, and solicits donations or monetary giving commitments from donors. Maintains a monthly minimum level of appointments or calls. Monitors activities to determine effectiveness and maximize contributions. Personally visits donors as directed or as appropriate in an effort to promote fundraising efforts and coordinates with supervisor when necessary. Maintains a minimum of 50 face-to-face visits annually focusing on all aspects of the Green Wave Club. Solicitations should include but are not limited to GWC, Olive and Blue Society, and premium seating in Yulman Stadium, Avron B. Fogelman Arena in the Devlin Fieldhouse and Greer Field at Turchin Stadium. Monitors strategies, moves, contacts, etc. for the Athletics prospect pool. Maintains relationships with prospects with a strong focus on stewardship and cultivation. This portion of the job responsibilities includes both annual fund and major gift expectations. (10%) 4. NCAA Related: Ensures that all Department of Athletics and University related activities operate in full compliance with university, conference and NCAA rules and regulations. Attends and participates in scheduled compliance seminars and complies with all the Athletic Department’s efforts to monitor compliance with NCAA regulations. Seeks interpretations from the compliance staff before acting when necessary. Reports potential rules violations immediately. Completes required compliance paperwork in a timely and efficient manner. Monitors department activities closely to maintain compliance with applicable rules and regulations. (5%) 5. REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, ABILITIES/COMPETENCIES TYPICALLY NEEDED TO PERFORM THIS JOB SUCCESSFULLY:
Bachelor’s Degree and 1 year of event management, hospitality, operations, or transferable experience (marketing, admissions, public relations, alumni relations, volunteer management, or sales experience) OR
High School diploma or equivalent and 7 years of event management, hospitality, operations, or transferable experience (marketing, admissions, public relations, alumni relations, volunteer management, or sales experience)
Experience with staging and planning events
Ability to interact effectively and diplomatically with external constituencies and prospective donors
Excellent interpersonal, oral and written communication, public speaking and presentation skills
Excellent organizational skills, to include the ability to prioritize projects and meet established deadlines
Ability to travel and work evenings and weekends as necessary in the performance of assigned duties
Ability to be fiscally responsible with all events and hospitality expenses
