Office Manager/Administrator - will serve a full-time administrative role reporting to the Club Directors - Executive Director, Director Soccer Operations, Technical Director & Age Group Directors.
ISC Gunners is seeking an experienced full-time Office Manager. The fundamental role of the Office Manager is to facilitate and efficiently coordinate various administrative processes throughout the Club, as well as providing customer support ensuring a positive member experience. The role requires a high level of critical thinking, the ability to multitask, and quick responsiveness to the team keeping operations flowing. Furthermore, the Office Manager is responsible for planning, organizing, coordinating, and implementing strategies in the following areas:
Primary Duties and Responsibilities:
Practice & Training Schedule:
Manage the Club Premier/Select and Rec Yearly Practice Schedules. This includes coordination with the Director of Soccer Operations, all individual Coaches/Schedules, Field Availability, and Rec & Select field requests/availability.
Seasonal Changes Summer, Fall, Winter & Spring - the movement from Grass Field to Turf Field, working with outside Organizations to ensure no conflicts etc.
Overseeing & organizing Car Pool Support with Team Managers and/or Parent Volunteers plus Board Member Support, ensuring Parents & Players can communicate on needs/find rides.
Overseeing & organizing Parking Lot Support with Team Managers, Parent Volunteers and Financial Aid Members, to help organize & manage overflow/parking/traffic at various Field Locations where needed, applicable.
Premier & Select Game Schedule:
Manage the scheduling of home & away games within League & Tournament guidelines collaborating with outside Coaches, Staff & Clubs to ensure a positive working relationship & experience.
Coaches Schedule - Work with all premier coaches to optimize their weekly schedule to ensure coaches make a majority of their teams games each weekend - Summer, Fall, Winter, Spring.
Tournament Schedule – Working with Gotsoccer or equivalent system to develop and manage the tournament schedule each Summer - on the Club Tournament/s.
Micro & Rec Schedule:
Work with the Rec Coordinators in scheduling the Friday night micro sessions each Fall. This also includes working/validating coaching coverage.
Work with the Rec Coordinators to schedule practice and games across the Club’s various Grass Field locations each Fall in support of the Micro Program.
Referee Coordinator (Premier & Select): Responsible for the management of the referee pool for all home games as well as the Gunners Summer Challenge Tournament. This includes providing a detailed schedule for the local referee organizations, and working with the Club’s internal ref pool to make sure all home games are covered.
Field Management & Operations
Fields Contract Management – Responsible for the coordination & execution of all field contracts for ISC Gunners (Rec, Select, Premier, WPSL, WWPL, Adult League) including field schedule coordination, contract negotiation and execution, plus point person for all communications with the city, the school district, or other field managers.
Fields Operations Management – Responsible for the management of our grass fields at LSSP including the day to day management of the maintenance crew as well as the playing conditions at city and school district facilities.
Storage Management - Making sure that the containers at both Central Park and LSSP are clean and well organized optimizing the storage space utilized.
Coaches and Staff Equipment/Gear Management - Manage all equipment and gear needs for the coaching staff, working with the Director of Soccer Operations to confirm, request, purchase, return any and all gear/uniform/equipment.
First Aid Kit - Manage First Aid Kit and ice pack distribution to the coaching staff. Have full First Aid kits located at both LSSP and Central Park, as well as any other required needs.
Inventory Management - Manage all equipment inventory for ISC Gunners making a list of all current equipment that is put into the containers and keeping a record of what equipment coaches have currently in their possession.
Uniform Coordinator – Work with uniform partner and manage all orders from the teams. This includes managing the full ordering process during our kit change every 2 years with our next cycle commencing in 2020. Main contact for the uniform partner, and main communications point/coordinator for all team managers. This will also include yearly ordering for Micro/Rec and camps
On/Off Pitch Equipment Management - Look to improve the appearance of the goals at LSSP making sure that all nets are in good condition and that the goals are cleaned. Manage and improve the quality of equipment for the Gunners Tournament each year (tents, banners, tables, chairs, corner flags).
Be an ambassador for the Club in the community;
Be on time to all events and meetings dressed in appropriate Club attire;
Perform other duties as assigned by ISC Gunners Directors.
Club Office Management - Point of Contact for the Club Office - making sure that the working space, conference room and storage space is always clean, well maintained and well organized optimizing the office space.
Club Office Administration - Point of Contact for the Club Office - scheduling and maintaining meetings, calendars, schedules and appointments on behalf of the Club/Directors & Staff.
Club Office Inventory - Point of Contact & responsible for inventory, stock and all items in the Club Office Space. Will add/buy/replenish any and all items as needed, in conjunction with the Club Directors.
Lost & Found - Working with Club Staff, overseeing a Lost & Found process/administration with the Team Managers, Parents & Players across the Club. Regular monthly stock take, recycling any uniform items for guest player use, or donating old/lost items to charity.
Club Communications - oversee/support Club Communication with the Director of Soccer Operations & Technical Directors, alongside other staff. Bi-monthly newsletters, parent & player updates, regular communication to Club Teams, Parents, Players, Managers and Coaches where needed.
Club Financial Tuition Balance Support - oversee/support Club Communication with the Directors - to parents & players about yearly Tuition Payments, Payment Plans, and/or Owed Balances
Minimum 4 years of office, administration or project management experience.
Extensive experience & proficiency in software such as Microsoft Office Suite (Word, Excel, Powerpoint), Google Suite (Docs, Sheets, Slides), Quickbooks, and Youth Sports registration software (Stack Sports or similar).
Experience with email marketing tools (MailChimp or similar) and survey tools (Survey Monkey or similar).
Strong communication and management skills.
Must have clean drivers licenses and own transportation.
Honest, driven, good work ethic, motivated and passionate about youth soccer and the development of our Club and Programs.
Preference may be given to candidates with a graphic design, social media marketing background, and/or operations experience.
The successful applicant will be required to have valid work authorization to work in the United States – please note no work visas will be provided by ISC Gunners for this or other Club Roles.
Previous soccer and/or youth club experience preferred.

The Issaquah Soccer Club (ISC), located in the foothills of the Cascade Mountains, was founded in 1980 and is one of the largest youth soccer clubs in the Pacific Northwest. The club is dedicated to teaching our youth the remarkable game of soccer while promoting sportsmanship, discipline and teamwork. Today, ISC is home to over 300 youth soccer teams and helps more than 3000 children each year to learn, compete and grow as athletes and valuable members of the community.
We believe that every player should have the opportunity to play soccer at any level and ability. ISC is a full service Club offering programs that introduce players to the game at a very young age (U5) as well as providing development programs for players competing at the highest levels. The Club also has the women's U-23 team plays in the Women's Premier Soccer League (WPSL).
