SUNY Maritime College located on a 55-acre scenic waterfront property on the outskirts of New York City on the Throggs Neck peninsula where the East River meets Long Island Sound. POSITION SUMMARY: Oversees budget, accounting, student payroll, and purchasing functions of the athletic department; produces bi-monthly budget reports; and ensures compliance with all university rules and regulations related to financial affairs. Assist the Director of Athletics with duties involved in maintaining numerous departmental accounts, focusing on daily purchasing, accounting, and other financial transactions using institutional automated computer systems.
Directly supervises: Student workers and game day staff
Athletic Operations Manager
Manage and track binding contracts for varsity athletic programs
Assist with all special events, camps and clinics in collaboration with Conference Services and coaching staff
Supervise and determine work priorities/schedules of work-study students, student assistants and game day workers
Prepare and monitor department supplies and inventory
Administer/compile end of season surveys
Update handbooks and policy manuals annually
Manage payments of all officials
Maintain a working copy calendar of department events and schedule game day coverage
Coordinate all transportation needs for varsity and club teams with the appropriate coach and/or administrator
Serve as Game Day Administrator for the athletic department
Serve as Club Sports Coordinator
Assist with fundraising efforts and coordination
Prepare bi-monthly budget reports for coaches and the Athletic Director
Oversee the reconciliation of all athletic accounts on a monthly or bi-monthly basis
Set up departmental ledgers for all accounts; record revenues, expenditures, and transfers
Monitor budgets for the purpose of identifying possible problem areas to avoid overdrafts, counseling budget holders on their responsibilities as necessary; consult with the Athletic Director on these matters.
Prepare the proposed budget to be submitted to Athletic Director and for approval from College Administration
Track and execute all check request forms, cash receipt deposit forms and donation deposit forms
Monitor Athletic Department Privateers Club revenue and expenditures
Complete preparation of all travel vouchers, petty cash vouchers, and purchase requisitions/orders
Complete all cash advance requests and handle all reimbursement requests
Monitor the hourly allocations of the sports medicine staff as outlined in the budget
Monitor the procurement card
Manage student appointments and facilitate bi-weekly approval of student timesheets to ensure timely processing of hours worked
Prepare and process all department purchase orders and bids according to university regulations, review bids and recommend awards in conjunction with the College Business Office and work directly with vendors on specifications and delivery arrangements
Approve all invoices for payment
Authorize and supervise all university deposits, assigning revenue codes for entry fees, ticket sales, advertising income, program sales, and other financial transactions as required
Complete other duties as assigned by the athletic director
Conform to the highest standards of professional conduct regarding compliance with department and institutional policies and procedures and adherence to the rules and regulations of athletic governance organizations of which the institution is a member
Contribute to the maintenance of good working relationships with all staff, student-athletes, and external constituents through (a) a positive and constructive approach to all tasks, (b) respect for the competencies of others, and (c) appropriate conflict resolution behavior
Specific Duties and Responsibilities Include: Administrative Support:
Issues with student-athlete well being
Responsible for attendance at all mandatory Athletic staff meetings
Home event game day supervision as assigned by the Athletic Director
Bachelor's degree in Accounting, Finance, Sports Management or related degree
One to three years of experience as a business manager
Have knowledge of NCAA Division III rules
Certified in First Aid, AED, and CPR currently
Excellent interpersonal, teaching and communication skills are essential
Possession of a valid Driver's License. Must have a motor vehicle record which is free from major violations or a pattern of repeat violation.
Master's Degree in Accounting, Finance, Sports Management or related degree
Three to five years of experience in educational, governmental, or commercial accounting/finance.
NCAA game day management experience
Classification/Salary Range: The Athletic Operations & Business Manager is a UUP position. The anticipated salary range for the position is $42,000 - $44,000 annually, with an outstanding benefits package (for more information please see the UUP Benefit Summary). Special Notes: This is a full-time calendar year appointment UUP Position. Fair Labor Standard Acts (FLSA) Exempt position, not eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously.
