Under general supervision, the Executive Assistant for Intercollegiate Athletics creates procedures for office operations; provides executive administrative assistance, including extensive calendaring and travel, for the Athletic Director (AD); and works independently while operating within the scope and intent of National Collegiate Athletic Association (NCAA), Conference and University regulations. The incumbent provides clerical support, including all external and internal correspondence for the AD; transcribes dictation; processes travel authorizations/requests and claims; calendars all appointments for numerous-attendee meetings; assists with the hiring initiations/processing for faculty, staff, and special consultants; performs and monitors Human Resources (HR)/Payroll transactions for all Athletics employees; prepares all confidential correspondence relating to personnel matters; processes all aspects of on-line recruiting; directs the maintenance and accuracy of departmental personnel files for both staff and faculty; responsible for Public Records requests; oversees key distribution, supply, stationery, and equipment orders, inventory and audits; assists in monitoring event contracts (19 sports); responsible for monthly procurement card transactions for various charges (National Association of Collegiate Directors of Athletics; maintains the upkeep of the main office; delegates and manages the workload schedule for all clerical staff and office student assistants; oversees/supervises inventory and administration of general office supplies; and analyzes equipment needs and provides clerical support for the various sports teams; works closely with Administration and Finance, Payroll, Faculty Affairs, Equity and Diversity, and Human Resources; and performs other duties as assigned.
Equivalent to graduation from an accredited four-year college or university in a job-related field. Equivalent to two years of full-time, technical, analytical, or administrative experience. Additional experience in job-related field may be substituted for required education, on a year for year basis.
