Assistant Director of Athletic Advancement is responsible for all aspects of growing, communicating, delivering benefits and development cycle progression for the Eagles Club (Athletics booster club with current $1.3M fiscal budget) annual fund. Coordinates the planning, supervision, creation, implementation, and post-event budgetary accounting of all special event fund-raising activities for the Athletics Department. Serves as direct point of contact and coordinator of the volunteer Eagles Club Advisory Board (comprised of professionals throughout Southwest Florida) and including the Wings Up Women ancillary group. The position works independently to organize and coordinate all aspects of hospitality for the Eagles Club. Also assists in the identification and cultivation of donors for the Athletics Capital Campaign, annual and endowed scholarship benefactors.
Coordinates the planning, supervision, and implementation of high profile and special fund-raising events that support NCAA scholarships and the Athletic Department. Coordinates stewardship events for donors and prospects (golf tournaments, luncheons, award ceremonies, auctions, tailgating events, and annual Night at the Nest). Coordinates campus event logistics and attends meetings to manage details. Establishes location reservation and coordinates agreements with vendors. Seeks out local corporate sponsorship and guest speakers. Requests technology equipment and handles volunteer staffing efforts. Updates and maintains guest list and publishes event brochures. Responsible for implementing the Wings up Women Committee to help fund and support women in athletics. Develops mentoring program and leads fund-raising efforts through networking events and luncheons. Serves as point person and expert for the Priority Points program. Assists current Eagles Club members with the program benefits. Coordinates the Eagles Club Board of Advisors meetings, attends all monthly meetings, ensures that minutes are taken, disseminates information to the Advisory Board members, and follows up on old and new business. Markets and promotes the Eagles Club annual fund-raising and membership drive phone solicitation, email, special events, and presentations. Maintains proper records, files, bids and other required documentation for each event. Coordinates and distributes Eagles Club membership cards, parking passes, season tickets, and other perks. Updates and maintains the database of existing and prospective members. Prepares and implements strategies to expand prospect base and to identify opportunities for donor cultivation and stewardship. With direction from the Assistant AD for Advancement develops strategies and goals for the Eagles Club and Special Events. Collaborates with the Assistant AD for Advancement, Director of Compliance, and coaches to coordinate the Athletic Donor Scholarship Program. Works with the advancement staff to report the use of donor's gifts; manage the celebration of gifts; and facilitate the meetings between donors and scholarship beneficiaries. Responsible for the sky box & Alico Arena Hospitality Suite guests services with donors during basketball season and home and away sports events. Serves as the Advancement liaison for the Athletic Ticket Office. Provides concierge services to donors and season ticket holders requesting ticket upgrades and other accommodations. Collaboratively works with Sports Information Department to update and maintain the Eagles Club and Athletics Development websites. Coordinates the design and production of publications, invitations, programs, and brochures. Develops budget recommendations and reports. Prepares budget requests or written narrative. Approves and processes expenditures (invoices for payment). Must be PCI Compliant; receives credit card payment. As a condition of this appointment, you agree to comply with all university, Atlantic Sun Conference, or Coastal Collegiate Swimming Association (CCSA) regulations, as well as all NCAA rules and regulations. It is your responsibility to remain current with all changes in NCAA, as well as changes to university, Atlantic Sun Conference and CCSA rules and regulations regarding intercollegiate athletics. This includes the requirement of self-reporting any possible rule violations and participation in the annual NCAA continuing education programs. Further, you are advised that any violation of NCAA rules is prohibited and may result in disciplinary action up to and including termination of employment.
Required Qualifications: Bachelor's degree from an accredited institution in an appropriate area of specialization. Two years of professional experience related to fundraising and event coordination. Valid driver's license and the ability to travel throughout the country. Ability to work occasional nights and weekends. Preferred Qualifications: Master's degree from an accredited institution.
Working knowledge of lighting, sound and projection equipment. Excellent management skills, attention to detail, and flexibility. Excellent presentation and interpersonal skills Ability to schedule events and facility usage. Ability to communicate effectively both orally and in writing with good editing and grammar skills. Ability to use a personal computer with proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook). Ability to handle multiple tasks, work under stress, and interact in a professional manner with a broad spectrum of people. Ability to coordinate and organize meetings and special events. Ability to work independently, analyze, take initiative, problem solve, and make rational decisions. •Ability to work in a fast-paced, professional working environment. Must be detail-oriented, resourceful and highly organized. Must be task-oriented and self-starter.
