Description Assist Director of Event Management in all facets in relation to internal/external events held within the Athletics Department. Key role will be oversight of facility usage, special event hosting in Athletics Department Facilities in addition to primary event manager for assigned sports and assist with all other sports.This will include oversight over weekly department event schedules, scheduling for future events, executing & monitoring special events, best practice research, coordination with facilities, compliance and administration regarding usage policies and operations. Maintain key working relationships with administrators, coaches, staff, visiting teams, patrons, and external constituents in regards to events. Work hand in hand with event operations and facilities (in addition to all other departments) to produce quality execution of all events. Draft cost estimates, contracts, policies, procedures, manuals, correspondence, reports, and services for event management data. Assist in conducting Big 12 Conference and NCAA post season championships. Perform other job related duties as assigned.
Required Education: Bachelor Degree OR an equivalent combination of education/job related experience OR 48 months in facilities, events, or building operations Skills:
Financial or accounting experience to include analysis, auditing and budgeting
Highly organized and able to handle multiple projects and deadlines
Experience planning and/or working public events
Experience with facility/event scheduling programs
Able to multi-task with various projects while maintaining high accessibility and approachability
Excellent internal and external customer service skills to ensure that events are consistent with department goals
Competent, real-time decision making and problem solving
Must be able to work nights, weekends, and some holidays frequently
Ability and willingness to gain and maintain working knowledge of department, university, Big 12, and NCAA rules and regulations
Ability to communicate professionally with administrators, coaches, staff, visiting teams, patrons, and external constituents
Ability to negotiate and work with external constituents
Able to effectively evaluate projects/programs and produce comprehensive reports
Must be able to supervise staff and communicate directions and expectations effectively
Certifications: Valid Driver's License for commute between facilities
Advertised Physical Requirements: Ability to lift and carry loads up to 50 pounds.While performing the duties of this job, the employee occasionally works in outside weather conditions. The employee is occasionally exposed to wet and/or humid conditions. Performing work requires coordination, agility, and strength to lift heavy objects, move and stand for long periods of time and willingness to work odd hours, weekends, evenings, and holidays.
Master's degree in sports management or related field.
24 months experience in Event Management or Operations
Expertise with special events hosting and/or facility usage
Experience with special events in multipurpose venues and collegiate settings.
Experience with Computer Aided Design programs (CAD) for creation of layouts and event information.
Working knowledge of department, university, Big 12, and NCAA rules and regulations
Supervision: Team Leader
